Subscription · Billing · Tokens
TFlow's paid features are accessed through a subscription (plan + license quantity), and AI features run on tokens. Both are managed from the My Subscription screen, and recurring billing is processed through PayVerse integrated payments.
💡 Who is this for? Billing managers and administrators who set the company's subscription plan or scale licenses up and down to match the team size, anyone who needs to top up when AI usage (tokens) runs low, and anyone who needs to pull a receipt for accounting. Actual payments and plan changes are usually handled by the company's Master (top administrator).
ℹ️ Visibility conditions — The Subscription menu and token charge entry points in this document are only visible in environments where the operational setting
billingEnabled(serverBILLING_ENABLED) is turned on. In environments where billing has not yet been enabled, the sidebar Subscription item and the header token charge button are hidden.

1. Opening the My Subscription screen
How to get there: Sidebar Settings > SubscriptionVisibility conditions → tflowx.com/my/subscription
The screen is organized into four tabs.
| Tab | Contents |
|---|---|
| Home (Plan) | My subscription status + plan selection + license quantity adjustment + auto-charge |
| Billing History | Past recurring charges, statuses, and receipts |
| Token Usage | AI token consumption history |
| External API Keys | Manage keys (PAT) for connecting external AI chatbots |
There are also derived screens for the receipt (/my/subscription/receipt/:id) and payment completion (/my/subscription/thanks).
2. Home tab — subscription status and plan
2-1. My subscription card
Shows your current subscription status in a single card.
| Item | Description |
|---|---|
| Plan name | The plan you are currently on |
| License count | Number of licenses the company holds |
| Maximum users | Upper limit of people covered by the licenses |
| Current members | Number of people currently in the organization |
| Payer | The account responsible for billing |
| Next billing date / service end date | The scheduled recurring renewal date, or the last usable day after cancellation |
- The next billing info shows the upcoming billing date along with the license count that will be billed next cycle. If you have a scheduled license reduction, it is shown as "current count → reduced count" with a warning notice and a Cancel scheduled change button — you can undo the scheduled reduction any time before its effective date.
- During a free trial, the trial end date is shown instead of the next billing date. → 2-4. Free trial
2-2. Selecting a plan · adjusting license quantity
Set the number of licenses with the quantity stepper below the plan card. Comparing the stepper value against your current subscription, the button label changes automatically.
| Situation | Button label |
|---|---|
| Starting fresh with no subscription | Pay |
| Increasing the license count above the current | Add Licenses |
| Decreasing the license count below the current | Reduce Licenses |
| Same as the current plan and quantity | Current Plan (disabled) |
| Switching to a different plan | Change Plan |
⚠️ Minimum license guard — The license count cannot be reduced below the minimum needed to cover your current members (current members ÷ users per license). To reduce further, you must first clean up member assignments. → License
⚠️ Set up your organization first ✨ NEW (2026-08) — Subscriptions are managed per organization, so you cannot proceed to payment until you belong to one. In that case the Home tab shows a "Set up your organization before subscribing" notice and the Pay buttons on the plan cards are disabled. Use the Set up organization button in the notice (
tflowx.com/my/organization) to create one, then try again. The free trial can be started without an organization. If you create one during the trial, your trial record is carried over to that organization automatically.
2-3. Change confirmation flow
Pressing the button does not charge you immediately; it proceeds in the order preview → confirmation modal.
- Change preview (previewChange): Calculates today's charge, cancellation fee, refund amount, and next billing amount.
- Change confirmation modal (SubscriptionChangeConfirm): Shows the breakdown above, and — when reducing licenses — the scheduled reduction effective date.
- Apply (applyChange): Pressing confirm applies the change.
- Depending on the situation, the bottom of the card displays Cancel / Resubscribe / Refund buttons.

2-4. Free trial (Free Plan)
If your company has no subscription or trial history yet, the home tab displays a "Start your N-day free trial" banner (currently 3 days).
- Starting: Pressing the banner button starts the trial immediately, without registering a payment method (card), and automatically assigns one license seat to the person who started it.
- Eligibility: The banner appears only when all of the following hold — ① you have no subscription or trial history, ② no member of your company has ever used a trial, and ③ the company has no active paid subscription. If any condition fails, the banner is not shown.
- While on trial: The my subscription card shows the trial end date. The auto-charge and cancel buttons are paid-subscription-only, so they are hidden during the trial.
- Upgrading: Even mid-trial, paying for a plan from the plan cards converts you to a paid subscription immediately, and the running trial ends automatically.
ℹ️ New accounts are no longer issued a license automatically. Until you start a free trial or pay for a subscription, usage is mostly view-only. → License
3. Recurring billing — PayVerse billing key
Register your first payment and the recurring billing key (automatic payment method) in one step.
- Pressing the payment button opens a payment summary modal.
- Pressing Pay by card opens the PayVerse payment window. KRW payments open a domestic-card window and USD payments open the international-card window. ✨ UPDATED (2026-08)
- Here the first payment and billing key issuance happen simultaneously. From then on, recurring billing and token charging are handled automatically with this billing key.
- On success, you are taken to the payment completion screen (
/my/subscription/thanks).
ℹ️ Closing the payment window with X is not treated as an error — you simply get a notice and the payment modal stays open, so you can try again straight away. ✨ ⚠️ To move to a plan in a different currency (KRW ↔ USD), you must cancel your current subscription and resubscribe.
ℹ️ When payment completes, one license seat is automatically assigned to the payer, so you can use editing features right away. Assign the remaining seats to teammates in organization management. → License
ℹ️ In development and test environments, a DummyPayverseFrame (mock payment window) appears instead of the real PayVerse window.
3-1. Payment failure guidance
A different message is shown for each failure cause.
| Type | Meaning · action |
|---|---|
| Security alert | Blocked by the card issuer's security policy — check with the issuer and retry |
| Configuration error | Payment configuration issue — try again shortly or contact your administrator |
| Card declined | Limit or validity issue — retry with a different card |
| Delay | Processing delay — check the status in billing history shortly |

4. Billing History tab
View past recurring charges in a table.
- Table columns: Date · Plan · Unit price · License count · Total · Period · Status · Reason · Receipt
- Receipt: The receipt button is enabled only for entries with status
paid(payment complete); pressing it opens the receipt (/my/subscription/receipt/:id) in a new tab.
ℹ️ The receipt shows the plan name, service period, amount paid, transaction number, and status based on actual billing data. You can use it as-is as accounting documentation.
5. AI tokens — balance · charging · auto-charge
TFlow's AI features (Lyra chatbot, CYGNUS/LEO analysis, and so on) run on tokens, which are deducted automatically as you use them.
5-1. Header token balance widget
The lightning (⚡) icon + balance in the top navigation bar shows your current tokens.
- In a
billingEnabledenvironment, clicking the widget opens the token charge modal.Visibility conditions - The balance indicates its status by color (normal / caution / warning).
5-2. Token charge modal
- Choose a token pack. Larger packs carry a discount badge.
- Pay with your saved PayVerse billing key.
- If there is no billing key (payment method), a "A payment method is required" (402) notice appears — first register a payment method through recurring billing.
ℹ️ If your tokens run out during a chatbot conversation, this charge modal opens automatically.
5-3. Auto-charge toggle
So you don't have to top up every time your balance runs low, you can turn on auto-charge.
- Location: bottom of the my subscription card (shown only when there is an active subscription)
- On/off + daily limit ($) setting
- Example policy wording: "When the balance drops below X, automatically charge Y tokens ($Z)."

ℹ️ Daily base tokens ✨ UPDATED (2026-08) — Daily base tokens are granted to users who hold a license. Without one you receive no daily grant, so ask your organization administrator to assign you a license. (Grants resume the same day you are assigned one.)
6. External API Keys tab (PAT)
Manage personal access tokens (PATs) used to access TFlow data from external AI chatbots such as Claude Desktop and ChatGPT.
- Issue: Pressing Issue API key generates a key in the form
pat_tflow_.... - Storage caution: The issued key is shown only once. Be sure to copy it somewhere safe.
- Validity: 90 days by default; reissue is required after expiration.
- Reissue: Pressing Reissue immediately revokes the existing key and issues a new one.
- Copy Claude Desktop configuration: With one button, you can copy the JSON configuration for Claude Desktop to your clipboard.
💡 For how to set up external integrations, see the MCP integration guide.
7. Refund policy
| Situation | Handling |
|---|---|
| Within 7 days of payment + completely unused | Full refund (no fee) |
| Other exits (cancellation) | No refund — recurring billing stops only; you can keep using the service until the expiration date |
| Reducing license quantity (keeping at least 1) | Not an immediate refund; instead, a scheduled reduction from the next billing date (no refund) |
- When you reduce licenses, the confirmation modal (SubscriptionChangeConfirm) shows the scheduled reduction notice and its effective date, along with the today's charge / cancellation fee / today's refund / next billing breakdown.
- In other words, the reduced portion is used through the current cycle and the fee decreases from the next cycle.
- If you change your mind after scheduling a reduction, you can undo it before the effective date with Cancel scheduled change in the next billing info on the my subscription card.
⚠️ The "within 7 days + completely unused" full refund is a safety net for mistakes or changes of mind right after payment. If you have used any paid features at all, it is handled as a stop of recurring billing (use until expiration) instead of a cash refund.
💡 Troubleshooting (FAQ)
Opening the screen and payment methods
Q. There is no "Subscription" in my sidebar.
A. In environments where billing is not enabled (billingEnabled OFF), the Subscription menu and token charge entry points are hidden.Visibility conditions If you can't see it in a production environment, contact your administrator.
Q. I'm trying to charge tokens but it says "A payment method is required." A. This is because there is no saved PayVerse billing key. Once you register a payment method through subscription payment (or card registration), token charging is thereafter handled with that billing key.
Q. I reduced my licenses, but the fee is unchanged. A. Reducing licenses is not an immediate refund; it is a scheduled reduction from the next billing date. You are billed for the existing quantity through the current cycle, and the reduced amount is billed from the next cycle. To undo the schedule, press Cancel scheduled change on the my subscription card before the effective date.
Free trial and the Pay button
Q. I don't see the free trial banner. A. The free trial can only be started when neither you nor your company has any subscription or trial history. If a member of your company has already used a trial, or the company has an active paid subscription, the banner is not shown. → 2-4. Free trial
Q. The Pay button is disabled and I cannot click it. ✨ NEW (2026-08)
A. You cannot proceed to payment until you belong to an organization. Use the Set up organization button in the notice at the top of the Home tab to create one at /my/organization. Refresh the screen after registering and the Pay button becomes active. (The button is also disabled for accounts without subscription management permission.)
Licenses, receipts, and expiry
Q. I want to reduce the license count further, but the button is blocked. A. You cannot reduce below the minimum that covers your current members. Clean up member assignments first in Organization license assignment, then reduce again.
Q. The receipt button is disabled.
A. Receipts are issued only for payments with status paid (payment complete). They are not enabled for failed or pending statuses.
Q. Does my data disappear when the subscription expires? A. No. Access is not fully blocked, and account and project data are retained as read-only. Note, however, that daily base tokens are granted only to users who hold a license.
