2.3. AI Mail Analysis and Project Linking Guide

TFlow automatically identifies incoming trade-related mail and has AI summarize and analyze the data in attached documents (B/L, P/L, C/I, etc.). You can also manually link (map) this analysis record to a specific "Project ID".

⚠️ Permission to link an email to a project is granted only to members of the specific project group you want to link to (Manager, Editor).

1. Reviewing Automatic AI Document Analysis Results

If a received email contains trade documents, TFlow AI provides parsing results.

1. In Email > Inbox, click a mail to enter the Email Detail page.
2. In the AI Analysis panel on the right or bottom, review the items (shipment information, items, key risk conditions).

1-1. Analysis Troubleshooting (FAQ)

• Q: "The analysis panel is empty and shows 'AI analysis failed'."
  • Error code/symptom: AI_PARSING_FAILED_POOR_RESOLUTION, NO_TRADE_DOCS_FOUND
  • A: Most likely the body only contained an image signature, or the scanned PDF resolution was too low to be recognized as text. Alternatively, it may be a general notice rather than a trade document.

2. Linking to a Specific "Project ID" (Mapping)

When AI analysis results alone can't precisely identify the project, the person in charge links it manually.

1. Click Link to Project (the chain icon) at the top right.
2. In the popup, enter the project name or CI (Commercial Invoice Number) to search for the target project. (e.g., "Project #137")
3. Select from the list and click Link.
4. When linking is complete, the email and the project enter a shared state together.

2-1. Mapping/Linking Troubleshooting (FAQ)

• Q: "I accidentally linked the email to the wrong project."
  • Error code/symptom: PROJECT_LINK_MISTAKE, UNLINK_PROJECT
  • A: Click the X (or Unlink) button next to the 'project tag' at the top of the mail detail screen to immediately unlink, then search for the correct project and link again.
• Q: "I searched for a project, but the Link button is disabled."
  • Error code/symptom: INSUFFICIENT_PROJECT_PERMISSIONS
  • A: You can view it, but linking is restricted if you are not a member of that project. Ask the project Manager for permission.
• Q: "Can I link one email obtained from AI analysis to multiple projects (Project A, Project B) at the same time (multi-mapping)?"
  • Error code/symptom: EMAIL_MULTI_PROJECT_MAPPING
  • A: Currently, the link between a mail and a project supports only a 1:1 relationship. You cannot multi-map an entire email body to several projects at once.
