Seller Guide

This document is a guide for sellers who create and operate their own store. It covers the entire process: setting up your store, registering products, sending quotes in response to Requests for Quotation (RFQs) you receive, and turning those quotes into projects.

💡 Who is this for? Sales staff who want to expose their export products to external buyers and handle everything in one place — from quote request to quote sending to project/contract. Store operation is handled by someone with the store_manager permission.

ℹ️ All seller management screens live inside the main app (tflowx.com/app/storefront/*). The public store (store.tflowx.com/<slug>) is where the results become visible to visitors.


Seller Guide — storefront setup, product management, RFQ-to-quote, and analytics

1. Getting Started — Access Permissions

The seller management menus appear differently depending on your permissions.

  • To create a store for the first time or to manage products and news, you need the store_manager permission. If you don't have it, ask your company's Master (→ 8. Granting the store_manager Role).
  • Responding to quotes (RFQs) and inquiries can be done by any company member, regardless of permission.

2. Storefront Settings (4 Tabs)

Storefront Settings (tflowx.com/app/storefront) is the starting point for managing your store. At the top of the screen you'll find the public URL (store.tflowx.com/<slug>), a Share button, a Published status badge, the number of registered products, and a View Store link.

Clicking the Share button at the top copies the latest public link. The old tflowx.com/store/... address is no longer used, so always share externally with the new link obtained from this button.

Settings are divided into 4 tabs.

2.1 Basic Info Tab

This is the backbone information for your store.

  • Store address (slug): The last segment of store.tflowx.com/<slug>. Use the adjacent Check Availability button to see whether it's available.
    • Rules: lowercase letters, digits, hyphens (-); 2–64 characters; must start and end with a lowercase letter or digit; reserved words (admin/api, etc.) are not allowed
  • Company name · Company description: Enter separately for Korean/English (language toggle)
  • Contact info: Email, phone, website, address (can be entered per language)
  • Publish toggle: Turn it on to make the store public; turn it off to make it private.

⚠️ If you change the slug, the existing public link will no longer open. If you've already shared a link externally, re-share the new link after making the change.

⚠️ If you turn off publishing, the store won't be exposed to visitors and won't accept new RFQs. RFQs, quotes, and projects you've already received are unaffected.

2.2 Home Tab — Customizing the Home Screen

Define the appearance of the public store home (/<slug>). Edit while checking the live preview on the right.

  • Layout selection: Choose between image-focused / minimal
  • Hero band: Adjust the company name, title, subtitle, and CTA button each by visibility and alignment
  • By the numbers: Freely add label-value pairs like "50+ products" or "10 years of exporting"
  • YouTube video: Insert a promotional video link
  • Background image upload + background color presets (5 gradients)

2.3 Intro Tab — First-Entry Splash

Configure the intro splash that briefly appears when a visitor first enters the store.

  • Policy: Off / Show once (once per tab)
  • Title · Description · CTA (visibility, alignment), auto-skip seconds (closes automatically after a set number of seconds)
  • Banner image, background color

2.4 SEO Tab

Enter the SEO title and description shown by search engines and when sharing links.


3. Product Management

Register and edit products in Product Management (tflowx.com/app/storefront/products).

3.1 Product List

The list is displayed as a table showing thumbnail · name · description · category · SKU · visibility · actions. Drag rows to reorder them, toggle exposure on and off with the visibility toggle, and use the language toggle (EN/KR) to check the content in each language.

3.2 Registering and Editing Products

Open the registration form with Add Product. The input fields are as follows.

Basic Info

  • Product name (required) · Description · SKU (internal identifier code) · Category (choose from pre-created categories)

Images

  • Multiple uploads allowed, up to 5MB per file (JPG/PNG/WebP)

Trade Details — displayed as badges on the buyer's product detail page.

  • MOQ (minimum order quantity) · Lead time · Country of origin · Packaging
  • Check Sample available → buyers can request samples when submitting an RFQ
  • Check In stock → if turned off, an "Out of stock" badge is shown on the public store

Specifications — a Key/Value list for the spec sheet

  • Example: MaterialAluminum 6061, Weight2.3 kg
  • Add and remove rows, reorder with move up/down (they appear in the order you enter them)

Certifications

  • Enter a certification name like ISO 9001 and press Enter → it's added as a tag. This boosts buyer trust.

3.3 AI Auto-Translation

When you open an already-saved product in edit mode, you can use the AI Auto-Translation feature.

  • It automatically translates the product name and description into English, Korean, Arabic, Japanese, and Chinese all at once.
  • After translating, touch up only the parts you need and save; the public store will then display the content in each visitor's language.

💡 For a multilingual store (especially targeting the UAE/Dubai), this feature lets you easily provide Arabic and English product pages.


4. Category Management

Create categories for classifying products in Category Management (tflowx.com/app/storefront/categories).

  • In the table, manage name · description (per language) · product count · edit · delete, and reorder by dragging.
  • You can build a parent-child structure (tree), which is reflected directly in the category filter of the public store's product list.

💡 Only categories you create here appear in the category dropdown of the product registration form. Create categories first before adding products.


5. Feed Posts

Use Feed Posts (tflowx.com/app/storefront/posts) to publish content to your store's Feed (news) channel. You can post new product introductions, use cases, trade show participation news, and more to communicate with visitors.

  • List: cover · title · author · status (published/scheduled/draft) · publish date · views · edit · delete
  • Composition form: title + rich editor (insert images, YouTube, tables) + featured image selection
  • Use Save Draft to keep a draft, or Publish to expose it immediately on the public store at /<slug>/feed.
  • While no post is published, the Feed tab is hidden from the public store's top menu. It appears automatically once your first post goes live (this keeps an empty feed page out of search engines).

5.1 Scheduled publishing

You can write a post ahead of time and have it go live automatically at the moment you choose.

  1. In the composition form, click Schedule to open the Publish at field (default: 9:00 AM tomorrow).
  2. Pick a time and click Schedule It — the status changes to Scheduled.
  3. At the chosen time the post publishes itself and appears on the public store at /<slug>/feed.
  • The time follows the time zone of the device you are on, and that time zone is shown next to the field. If you connect from abroad, that local zone applies.
  • A scheduled post stays hidden from buyers until it publishes. The publish-date column shows the scheduled time instead.
  • To undo a schedule, open the post and click Cancel Schedule — it returns to draft.
  • To move a schedule, pick a new time in the edit screen and click Schedule It again.
  • To skip the wait, click Publish — the schedule is dropped and the post goes live at once.

6. From the RFQ Inbox to Sending a Quote

Quote requests sent by buyers arrive in the RFQ Inbox (tflowx.com/app/storefront/rfqs). Here, when you compose and send a quote, a project is automatically created.

When a new RFQ arrives, email and in-app notifications are sent to all company members.

💡 Subscription (license) and RFQs — Creating a store, registering products, and publishing work without a subscription, but viewing buyer identity (company, contact, email, phone, message) on received RFQs and responding (status change, assignee, writing/sending quotations) require one. Without a subscription, buyer information appears 🔒 masked in the list and details (items and shipping terms remain visible), and pressing the quotation button shows a subscription prompt. → License

6.1 RFQ Inbox

List table: RFQ number · buyer · number of items · status · received date · actions Status flow: submitted → under_review → quoted → accepted/rejected

Open an RFQ to review and process it in the detail view.

  • Buyer info and internal assignee assignment
  • Requested items (product, quantity, sample request, notes)
  • Shipping info (destination country, port, Incoterms, desired lead time)
  • Actions: Mark Reviewed (switch to under review) → Send Quote (compose quote) → after quoting, go to Project

6.2 Composing a Quote

Clicking Send Quote opens the quote composition screen.

  • An RFQ summary (buyer, shipping, items) is shown at the top.
  • Quote items table: Enter quantity · unit price · total · lead time per product, and totals are calculated automatically.
    • Currency: USD / EUR / KRW / AED / JPY / CNY / GBP
  • Terms: quote validity period (number of days → expiry date auto-calculated) · payment terms · delivery terms · remarks
  • Actions: Save Draft or Create Project & Quote (enter a project name)

6.3 Quote → Auto-Creation of Project + Quotation (QT)

Clicking Create Project & Quote triggers all of the following at once.

  1. A sales/export project is automatically created, with the seller as owner.
  2. The buyer is invited to the project (an invitation notification is sent).
  3. The corresponding RFQ status changes to quoted and is linked to the project.
  4. The composed quote is turned into a Quotation (QT) document in the project's document library.

After sending, the quote screen becomes read-only, and you can navigate via Go to Project / Open Quotation (a deep link to the QT document).

💡 Subsequent terms negotiation proceeds by exchanging this QT document (a document handshake). The quote effectively becomes the starting point of the project.

An Inquiry is separate. A free-text 1:1 inquiry that isn't a product/quantity quote is handled as a conversation thread in the Inquiry menu (tflowx.com/app/storefront/inquiries). Inquiries do not link to projects. Buyers can submit inquiries for free, but viewing and replying as a seller requires a subscription (license).


7. Seller Analytics Tab

Check your store's visits, behavior, and conversions in Store Analytics (tflowx.com/app/storefront/analytics). Choose the period as 7 days / 30 days / 90 days.

  • Summary cards: Visitors (unique) · Views · Cart adds · RFQ + conversion rate
  • Purchase funnel: Step-by-step conversion rates for Added → RFQ sent → Quote responded → Project conversion
  • Currently open carts: Products visitors have added right now (only what was added — who added it is not shown)
  • Daily trends: Line chart of views and cart adds
  • Top products / Top products added to cart
  • Traffic channels: Which path (UTM) visitors came through

🔒 Privacy: Analytics does not show personally identifiable information. It is provided only as anonymous aggregates.

8. Granting the store_manager Role (Organization Settings)

store_manager is a role that can operate and manage the store. The company Master assigns it in the storefront manager section within My Organization (organization settings).

  1. In the organization settings screen, open the store manager (store_manager) section.
  2. Add a manager by entering their email (they must be a member belonging to the company).
  3. The designated member gains access to the entire "Store Operations" menu (settings, products, categories, feed, chatbot, analytics).
  4. To remove them, delete the manager from the list.

💡 Role division: Store Operations (content, products, chatbot, analytics) is handled by the store_manager, while Sales & Deals (responding to RFQs and inquiries) is handled by all company members. This is useful when you want to run content staff and sales staff separately.


💡 Troubleshooting (FAQ)

Q. I can't see the "Store Operations" menu. A. You need store_manager (or Master) permission to see it. Ask your company Master to assign store_manager in the organization settings. The RFQ inbox and inquiries are visible regardless of permission.

Q. What happens to old links if I change the slug? A. The existing links won't open, and access is only via the new slug. If you've shared a link externally, get the new link with the Share button at the top and re-share it.

Q. My product image exceeds 5MB and won't upload. A. The 5MB-per-file limit is a server restriction. Before uploading, use an image compression tool to reduce the size or lower the resolution and try again.

Q. The category dropdown in the product registration form is empty. A. You must first create categories in Category Management for the options to appear.

Q. I sent a quote but no project was created. A. If you only use Save Draft, no project is created. You must click Create Project & Quote, enter a project name, and confirm for the project, QT document, and buyer invitation to all be created together.

Q. The currency I want isn't available for quotes. A. Currently USD / EUR / KRW / AED / JPY / CNY / GBP are supported. For other currencies, specify the conversion basis in the remarks (Terms) and negotiate.

Q. If I turn publishing off and on, will my analytics/RFQs disappear? A. No. Making it private only blocks exposure; your existing RFQs, quotes, projects, and analytics data are preserved as-is.
